At Book Direct Limited (hereafter referred to as ‘we’, ‘us’, ‘our’) we are dedicated to safeguarding and preserving your privacy when visiting our site or communicating electronically with us. This Privacy Policy, together with our Booking and Website Use Terms & Conditions, provides an explanation as to what happens to any personal data that you provide to us, or that we collect from you. As required by the applicable Data Protection law, we follow strict security procedures in the storage and disclosure of information which you have given us, to prevent unauthorised access and use of your information. This policy describes what you can expect from Book Direct Limited regarding personally identifiable information on our website(s) (in particular www.getmeacoach.com). An up-to-date privacy policy will be maintained on our website(s) so you are always aware how we process your personal information, use it, and in what circumstances we disclose it.

         2.2.    You shall retain all ownership rights to any textual, scoring or other survey content published on our website(s) in consideration of which you bestow us and our licensees for perpetuity a non-exclusive, royalty free license to publish and/or republish all or teaser portions of your content online and offline.

         2.3.    Your published product, service and supplier review ratings are used to develop viewable aggregate review ratings for products, services and supplier; merchandise goods and services; and, personalise our website(s) views, for example promoting the most popular or high-scoring suppliers, services and products on our website(s).

         2.4.    While we don't expect to transfer the complete review rating database to others (except as contemplated elsewhere in this statement), we use the database throughout our networks and to generate results for others.

   3    Newsletters

         3.1.    We may provide you the option to subscribe to our newsletter. If you elect to do so we will ask for contact information such as your name, postal and email address. Every email Newsletter that you receive from us will contain an unsubscribe link. Selecting that link will allow you to opt-out of receiving subsequent communications.

   4    Special Offers

         4.1.    From time to time we may have special deals that may be of interest to you. When you book with us, you will have the opportunity to opt-in to receive these communications. If you elect to do so we will ask for contact information such as your name, postal and email address. Every email Special Offer that you receive from us will contain an unsubscribe link. Selecting that link will allow you to opt-out of receiving subsequent communications.

   5    Site Tracking and Cookies

                      b)   To provide information on other products which we feel may be of interest to you, where you have consented to receive such information;

                      c)   To meet our contractual commitments to you; or

We require the following personal information to allow us to provide transport quotes, process bookings and/or conclude the purchasing and sale of services and goods on behalf of our suppliers:

                      a)   Your name, postal and email address, credit or debit card number, CVC number and expiry date;

                      b)   Delivery instructions; and

                      c)   Confirmation you are eighteen [18] years old or over, have the legal capacity to make the transaction and accept financial responsibility for all transactions made under your name or account;

                      d)   The date(s) and time(s) at which the service is required;

                      e)   Full disclosure of: (i) passenger collection points and destinations; (ii) any specific or related itinerary and/or timetable; (iii) expectations regarding the driver and road vehicle(s); and, (iv) any passenger manifest, special needs and other transit requirements, such as carriage of a stated volume of luggage, onboard entertainment facilities, refreshments etc; and

                       f)   The purpose of the service as it relates to the passenger(s) and your need for the Service, e.g. to transport wedding guests to and from the church;

may also ask for telephone numbers that we and/or our suppliers' can contact you on if there is any question(s) concerning your booking, reservation, purchase, card details, delivery instructions or service requirements.

         8.6.    Credit card information is held in our secure database to enable us to confirm a bookings or reservations; deal with cancellations; and, conclude the purchase of information, services or goods.

         8.7.    When you request and/or purchase information, services or goods through us from our suppliers we provide personal information to them and other third-parties necessary to help facilitate the transaction and process data under our strict instructions for the sole purpose of performing their function. Some of these third parties may be located in countries not offering an equivalent level of protection to that of the European Economic Area.

         8.8.    Many of the operations we perform require us to hire other companies to help us with these tasks. For example, we hire companies to help us handle mail and email (including sending and delivering packages, postal mail and email), analyze the data we collect and handle credit card, BACS, cheque and internet online banking transactions. The companies we employ to help us with these tasks have access to personal information to perform their functions, but may not use it for other purposes. We require all third parties to which personal information is disclosed to apply appropriate technical and organisational security measures to help protect your personal information, and to only process your personal information in accordance with instructions received from us.

   9    Storing Personal Data

         9.1.    We store Personal Data on our secure servers and databases located in the United Kingdom. Payment details relating to any transactions entered into on our website(s) will be encrypted to ensure its safety. This means that your information, which includes your name, postal and email address and credit or debit card number, cannot be openly read as it travels over the internet.

         9.2.    We may transfer data that we collect from you to locations outside of the European Economic Area for processing and storing. Also, it may be processed by third parties operating outside the European Economic Area who work for us or for one of our suppliers. For example, such staff maybe engaged in the processing and concluding of your order, the processing of your payment details and the provision of support services. By submitting your personal data, you agree to this transfer, storing or processing. We will take all reasonable steps to make sure that your data is treated securely and in agreement with this Privacy Policy.

         9.3.    The transmission of information via the internet is not completely secure and therefore we cannot guarantee the security of data sent to us electronically and the transmission of such data is therefore entirely at your own risk. Where we have given you (or where you have chosen) a password so that you can access certain parts of our site, you are responsible for keeping this password confidential.

 10    Disclosure of Personal Information

       10.1.    Where applicable, we may disclose your personal information to any member of our group. This includes, where applicable, our subsidiaries, our holding company and its other subsidiaries (if any).

       10.2.    We will disclose personal information about you to the government if we are required to do so by law or regulation; in connection with actual or potential lawsuits to enforce our rights; or, with your consent, if such disclosures may potentially mitigate our liability.

       10.3.    We may also disclose your personal information to third parties:

                      a)   Where required to do so by law, a court decision or any other legally requirement;

                      b)   To assist fraud protection and minimise credit risk;

                      c)   In an emergency situation to the minimum extent we deem the event necessitates;

                      d)   If we think the disclosure is appropriate and you authorise the specific disclosure; or

                      e)   Where we sell any or all of our business and/or our assets to a third party.

 11    Access to Information and Data Changes

       11.1.    In accordance with the applicable data protection law (in particular ‘The Data Protection Act 1998’, as amended), you are entitled to request details of the personal information we hold about you, and you have among other rights set forth by the applicable law the following rights: you can access, modify, object or revoke for legitimate reasons your consent to the processing of your personal information in accordance with this policy. Please note that any demand for access may be subject to payment of a fee of twenty pounds [£20] which covers our costs in providing you with the information requested.

       11.2.    We work to keep personal information accurate and up-to-date. We also work to retain personal information for no longer than is necessary for the purposes for which it was obtained. If you wish to receive details that we hold about you or require us to edit or remove your personal information on one or all of our website(s) please contact us using the contact details set out in clause 13.2.

       11.3.    We reserve the right, without notice, to amend or delete any data or personal information on our website(s) which, in our sole discretion, is fraudulent, defamatory, obscene, materially inaccurate, or in breach of any law or advertising code of practice.

 12    Sale of Business

       12.1.    If our business is sold or integrated with another business your details may be disclosed to our advisers and any prospective purchasers and their advisers, which may be located in countries not offering an equivalent level of protection to that of the European Economic Area and will be passed on to the new owners of the business so that the new owners can continue to provide the services and goods currently offered by us.
